Working with an existing China supplier: a buyer's coordination checklist

Finding a supplier is one step in a commercial purchase. Once you have a quotation or an order underway, the next challenge is keeping specifications, production updates, quality checks and shipment arrangements aligned.

If you already have a factory in China, Foshan Unison Trading can help with local supplier communication and order coordination. A clear handover gives everyone a useful starting point. Here is what to prepare before discussing support for your order.

1. Bring together the agreed product details

Collect the current quotation, drawings, dimensions, materials, finishes and any approved sample references. Identify the version your supplier is working from and any changes still being discussed.

For a custom product, separate the features you have agreed from those that still need clarification. If the supplier has proposed a substitute, record the difference against your original requirement so it can be discussed clearly.

2. Describe where the order stands

Summarise what has been agreed, what has been paid, the production stage and the target delivery date. List the questions that remain open and the person responsible for answering each one.

For example, you may be waiting for a revised specification, a production update, sample approval or confirmation of packing details. Clear outstanding actions make supplier follow-up more focused.

These documents are for the purchasing and coordination team. They do not need to appear in a public client story.

3. Agree what needs checking before shipment

Define the scope of a pre-shipment quality check before the goods are ready. Depending on the product, this may include quantity, dimensions, finish, packaging and labels, using the agreed specification or sample as a reference.

Decide how concerns will be reported, what supporting photographs are needed and who can approve the next step. Give the supplier and the person carrying out the check the same reference information.

4. Share the packing and shipping requirements

Confirm the destination, planned shipping arrangements and any packaging requirements. If several suppliers are involved, bring their expected readiness dates, carton or crate sizes and collection details into one list.

Tell the coordination team whether products need consolidation, whether any packing details are still open and which shipment dates have been confirmed. Update the list when the plan changes so everyone can work from the same information.

5. Choose the local support your order needs

You may need help with one stage or several. Foshan Unison Trading's support can include Chinese and English supplier communication, specification clarification, order and production follow-up, pre-shipment quality control, packing and loading follow-up, consolidation and export coordination.

Our focus is international B2B buyers managing bulk, repeat, project and container-based orders. Start with the stage you are at and the specific tasks you want help with; we can then discuss the scope of support.
